As an Associate Administrative Coordinator, you will be responsible for complex administrative support activities that includes preparing and/or processing technical material/reports/forms using a wide variety of text editing software and managing features (formatting, editing, deleting, updating, etc.), creating, testing and implementing Microsoft Word macros and templates, and occasionally assisting supervisor in coordination of management issues, (i.e., focal reviews, goals and department/staff goals and objectives). 

What you’ll be doing 

  • Provides confidential secretarial and administrative support for the principal executive or executives 
  • Managing the schedule/calendar, making travel arrangements, screening and handling telephone communications 
  • Serves as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies  
  • Gathers, enters, and/or updates data to maintain departmental records and databases, as appropriate; establishes and maintains files and records for the office 
  • Assists with project development and planning to ensure more efficient service and organization of the office 
  • Composes and prepares written documentation and correspondence for the office 
  • Assists in the coordination, supervision, and completion of special projects as appropriate 
  • Enhances professional growth and development through participation in educational programs, current literature, in-service meetings, and workshops. 
  • Performs miscellaneous job-related duties as assigned 

Requirement 

  • Bachelor’s degree 
  • C1/C2 English Level proficiency (both written and spoken English) 
  • 3 years of administrative support experience 
  • Meticulous approach to administrative tasks 
  • Exceptional interpersonal, written, and verbal communication skills 
  • Ability to handle multiple tasks and duties simultaneously 
  • Highly organized and able to create an organized and easy-to-follow system for others 
  • Proficiency with office technology and equipment, including fax machines, printers, copiers, scanners, and computers 
  • Creativity and strong problem-solving skills 
  • Solid presentation skills 
  • Strong task and time management skills 
  • Basic math abilities and an understanding of basic financial concepts 
  • Comfort using the business email systems, such as Microsoft Outlook 
  • Independently motivated, with the ability to take on tasks and duties without immediate direction 

Preferred candidates who is effective communicators who speak clearly, with a strong analytical mindset. Candidates must also have the ability to adapt to change, and can work fast in a multichannel retail environment. Candidates must be amenable to work during US business hours. 

We offer a full-time, US-hours remote job, 40-hour workweek Mon-Fri, with excellent prospects for long-term growth for an ambitious experienced Associate Administrative Coordinator. We can offer HMO and other benefits to Philippine candidates.
